Tabletop Exhibit Rules & Regulations

  1. Exhibit Hours: The official exhibit hours will run concurrent with the ASME Workshop and its proposed networking event and during breaks and lunch periods for the workshop. These exhibit times are approximated as follows:

    7:30 am – 8:30 am Pre-conference Viewing
    10:15 am – 10:45 am Break
    12:15 pm – 1:15 pm Lunch
    3:15 pm – 3:45 pm Break
    Wednesday, October 2, 2019
    7:30 am – 8:30 am Pre-conference Viewing
    9:30 am – 10:00 am Break
    12:00 pm – 1:00 pm Lunch
    3:00 pm – 3:30 pm Break
  3. Booth Assignments: Booths will be assigned by ASME Staff based upon available space primarily on a first come, first served basis. Effort will be made to not place competitors adjacent to one another. ASME reserves the right to relocate exhibit tables as necessary.
  4. Payment for Registration and Booth Exhibits: Each exhibit or table top must be paid in full before the event. A modest service fee of $35.00 will also be assessed for electrical service to the booth if requested.
  5. Cancellations or refunds: No cancellations will be granted after April 30th, 2019. Full refunds will be granted for cancellations received prior to September 3, 2019.
  6. Security and Insurance: All exhibitors are solely responsible for their own materials. Those wishing to insure or secure their own goods must do so at their own expense. The exhibit area will be locked during non-exhibit hours.
  7. Booth Tables and Staffing: One exhibit booth, containing a six-foot skirted table, will be provided each exhibitor. Tables may be staffed by a maximum of 2 company delegates at any one time during the exhibit hours.
  8. Displays and Exhibits: Displays may consist of whatever materials, products, literature, signage, photos or other items that pertain to the products and services offered by the Exhibitor. For table top exhibits, all items exhibited MUST fit on the top of the provided exhibit table or onto the exhibitor provided table-top mounted display panel or panels so long as the display is no longer than six feet and is no higher than eight feet from the floor. No floor mounted exhibits are permitted!
  9. Shipping, Set-Up, and Removal: Exhibitor’s materials and display items should be shipped as follows:

    Tables will be available for display setups beginning at 7am on Tuesday morning, Oct 1st. Tabletops may be torn down on Tuesday after the break. No materials will be handled for packing or outbound shipping by any ASME representative. Any materials left after the final closing hours of the Workshop on Thursday will be considered Trash and will be discarded.
