Register by April 24, 2023, to receive the Early Bird rate. Online registration will allow you the opportunity to make changes and additions to your registration as necessary until Wednesday, May 31, 2023.

You must register with the same email linked to your ASME account/Toolbox Login in order to obtain registration rates applicable to you. Failure to do so will result in a price difference that does not meet your registration level.

The one-day rate can only be used to attend the conference, not to present a paper.

 

You are entitled to present up to two papers on which you are listed as an author. Only an author of a paper is permitted to present that paper. Please be advised that ASME will:

  • Check to ensure all papers have an author registered to present. Notification will be sent to the presenting author of a paper if there is not an author registered and identified as presenting the paper.
  • Check to ensure that an author is not presenting more than two papers.

According to ASME's presenter attendance policy, if a paper is not presented at the Conference, the paper will not be published in the official archival Proceedings, which are registered with the Library of Congress and abstracted and indexed. It will also not be published in the ASME Digital Collection and may not be cited as a published paper.

In addition, each paper must have at least one author registered for the conference.

Member and Presenting Author Rate is applicable to a member of ASME.

Non-Member Rate includes a four-month Free Trial Membership following the conference. ASME will contact you after the Conference to provide further details.

Student Rate: Student registration rates are only available to undergraduate and graduate students who are enrolled full time and have not yet received their Ph.D. Post-docs may not register as students.

For each technical publication and technical presentation, a minimum of one author must be registered at the Presenting Author Rate. An author of a paper who meets the student qualification noted above may register at the student rate and present the paper only if one of the paper’s other authors is registered at the full Conference rate.

Proof of student status is required to confirm the student rate. Proof consists of a copy of the student's identification card or a letter from the institution's registrar verifying student status. Student identification will need to be uploaded during the online registration process. If proof of student status is not received within two weeks of registering, the Student Rate will be invalid and the Non-Member rate will apply.

One-Day Rate is applicable to members and non-members attending the Conference for one day, rate being only available for purchase on-site at the conference.

Author registration deadline is Monday, April 3, 2023. Payment must be received in full to be able to submit a final paper. Early Bird rates are available until Monday, April 24, 2023. Pre-registrants who pay their registration fee after Monday, April 24, 2023, will be charged the regular registration fees.

One-Day Rate of A$1,285 (including 10% GST) is Only Available for Purchase On-Site at the Conference.

The registration fee category is determined by when the payment is received. Regular registration fees will be charged onsite for any unpaid pre-registrations. The deadline for pre-Conference registration is Thursday, June 8, 2023. Registrations will also be accepted onsite. The registration deadlines are as follows:

Early Bird Fee: April 24, 2023 (by 23:59 PDT)

All payments are due in AUD. Registration fees are determined by when payment is received. Registrants who pay their registration fee after Monday, April 24, 2023, will be charged the regular registration fees.

A confirmation email will be sent shortly after you register. If you submitted payment by credit card, a receipt will be included. If you wish to pay by cheque or wire transfer, an invoice will be sent to you via email once you have completed your online registration.

Methods of Payment

Wire Transfer (applicable prior May 29, 2023)
All wire transfers are payable to "Sea to Sky Meeting Management Ltd.", are due in AUD and must be received by Monday, May 29, 2023, otherwise payment via another method will be required. On the wire transfer, please note “OMAE 2023” and the name of the registrant(s) as a reference. Wire transfer information will be included on the invoice sent upon completion of your registration to the email address provided.

Credit Card – American Express, Visa and Master Card
If paying by credit card, "Sea to Sky Meeting Management Ltd." will appear as the vendor on your credit card statement.

All cancellations received in writing on or before Wednesday May 03, 2023 will receive a full refund, less an administration fee of 270 AUD for the Conference and a fee of 75 AUD for social functions, tours and the accompanying persons program. No refunds will be provided for cancellations received after Wednesday, May 03, 2023.

As of Thursday, May 4, 2023 no refunds will be provided.

All refunds processed via wire transfers will be charged a processing bank fee of 60 AUD.

All cancellations must be submitted in writing by email to omae@seatoskymeetings.com.

Substitutions: Registrations may not be transferred or substituted at any time.

Short Courses Cancellation & Refund Policy
Cancellations made through May 29, 2023 will receive a refund, less the administration fee of 60 AUD. Refunds are not available after May 29, 2023. Substitutions for individuals enrolled in the short courses may be made onsite.

ASME reserves the right to cancel a Short Course if enrolment is insufficient to ensure maximum effectiveness. This decision is made approximately two weeks before the course begins and registrants will receive a full refund or be given the opportunity to transfer to another course. Please keep this cancellation policy in mind when making airline reservations, as ASME cannot be responsible for fees charged for cancelling or changing your airline ticket. Course students are responsible for handling all travel arrangements and the costs associated with their travel.

Individuals take part in the OMAE 2023 Conference at their own risk and are responsible for their own health and travel insurance arrangements.

FAQ Australian GST

  1. Why am I paying a GST on the Congress Registration Fee?
    You are paying a Good and Services Tax (GST) on the registration fee because it is required by the laws and regulations of Australia. They establish that GST must be paid on the fees to congresses held in Australia.
  2. Can the GST be recovered?
    The GST is only recoverable for businesses registered for GST in Australia. Individuals and businesses not registered for GST in Australia cannot get the refund of the GST paid.

Wheelchair Access and Special Assistance: If you require special assistance, please indicate your requirements during the registration process.

Dietary Requirements: Please identify your dietary requirements during the registration process so that we can make arrangements in advance.

Entry Visa Requirements: To confirm if you require a travel visa to enter Australia, please check with an Australian Embassy/Consulate. In the meantime, you may use this link as a guide.

Should you need an entry visa, please contact the Australian Embassy/Consulate in your region or a passport/visa service to obtain one as soon as possible to allow time for processing.

For current COVID-19 entry requirements to Australia, please visit the Government of Victoria website. COVID-19 regulations are expected to change over time, so please ensure you check the requirements before making travel arrangements, and especially in the weeks before travelling to OMAE 2023, to ensure you are aware of and adhere to all health and safety regulations.

Invitation Letters: Authors will have received an abstract acceptance email that will contain a link to download your letter of invitation (aka VISA Letter). Please refer to your Abstract acceptance email notification for that link. For all other registrants, you will be able to request a Letter of Invitation during the Registration process which will be sent as a PDF attachment via email. Once your fee is paid in full, your PDF letter will be sent within 2-3 business days. If you require a hard copy invitation letter to be mailed to you, you may request and pay for a hard copy invitation letter during the registration process.

Insurance and Liability
Individuals take part in OMAE 2023 and its events at their own risk and are responsible for their own health and travel insurance arrangements, and ensuring they meet the entry requirements to Australia, ASME events and their returning country.

ASME and its partners / suppliers are committed to the safety and well-being of all in person participants and will be adhering to the health rules and regulations that are in place at the time of the conference. For the most up to date information, visit the Government of Victoria.
