Author Registration: Only the authors can register at this time. Attendees will be able to register beginning May 15th.
Non- Author Registration: Non-author attendees will be able to register beginning May 14th.

Author/Presenter Conference Registration: Czech Republic VAT will be applied to registration at check out. A confirmation email will be sent shortly after you register. The registration invoice will be sent within 1 week in a separate email.

Author/Presenter €896 All Presenters must be registered by May 6, 2024, in order to submit their final paper.

Author/ Presenter Registration Requirements

For each Technical Publication and Technical Presentation, a minimum of one author must be registered at the Full Conference Author rate.

If all authors on a paper are students then one student will need to register at the Author/Presenter Rate of €896.

One author registration fee can cover up to a maximum of two (2) technical papers or presentation only submissions plus two (2) additional poster presentations.

An author registering at the author rate with more than two (2) technical papers or presentation only submissions to present at the podium, must request a co-author to register.

General Conference Registration: Czech Republic VAT will be applied to registration at checkout.

Why am I paying VAT on the Conference Registration Fee?
You are paying a Value Added Tax (VAT) on the registration fee because it is required by the laws and regulations of the EU and its member states. They establish that VAT must be paid on the registration fees in the country where the meeting is held.

Can the VAT be recovered?
Business companies from the European Union and business companies from outside the European Union with reciprocity agreement (Switzerland, Norway, Macedonia) can claim back the Czech VAT. To recover the VAT you must provide the details of your company - name, address, VAT number or Tax ID - for all expenses invoices and submit all original documentation to your company for its processing.

Pay attention that the VAT refund on certain expenses like travel expenses, accommodation, meals or goods and services for personal consumption are not accepted by the Czech Tax Administration.

What process should companies follow to recover the VAT?

  1. EU Companies
    EU companies must contact the Tax Administration of their own country for instructions regarding the conditions and process to follow for reclaiming the Czech VAT. There are also minimum VAT amounts that must be met.

    For the refund applications for one to three quarters by an EU company the minimum amount is EUR 400. If the refund application relates to a refund period of a calendar year or the remainder of a calendar year, the amount of VAT may not be less than EUR 50. For conversion of EURO currency into the CZK currency it must be used the exchange rate mentioned by the Czech National Bank for the first working day in January of the year for which the application is submitted. Please note that these amounts refer to ALL the VAT from the expenses incurred FROM ALL ITS EMPLOYEES in the Czech Republic for this meeting and any other business-related VAT incurred in the Czech Republic.


  2. Non-European Companies

    The Non-European companies, established in countries that have reciprocity agreements with Czech republic, must send the VAT refund application directly to Finanční úřad pro Prahu 1 (Local Tax Office for Prague 1) at the address below. Please note that an application for a refund of VAT for the relevant calendar year may be filed at the latest by 30 June of the following calendar year. The Non-European companies must fill in the form in Czech language.

There are also minimum VAT amounts that must be met. The VAT refund must be at least CZK 7,000, unless the refund period is the calendar year or the last period of the calendar year. The refund for these refund periods must be at least CZK 1,000. Please note that these amounts refer to ALL the VAT from the expenses incurred FROM ALL ITS EMPLOYEES in the Czech Republic for this meeting and any other business-related VAT incurred in the Czech Republic.

The application for VAT refund must be supported by the relevant invoices and a Certification that the applicant is a taxable person registered for VAT or similar taxes issued by the tax authority from the country of his establishment.

  • Student registration rates are only available to undergraduate and graduate students who are enrolled full-time and have not yet received their Ph.D. Post-docs may not register as students.

  • Persons who register at the Student Member or Student Non-Member rate will be required to submit current valid student identification to ASME. All Students must present a valid student photo identification that includes an ID number and "Valid Thru" date. Student identification will need to be provided onsite when picking up name badge. International student identification must be presented in Roman alphabet. If an ID is not in this format, students may present a letter from their university, on university letterhead as a second form of ID. If the identification is not validated, the attendee will need to register in one of the non-student registration categories. No exceptions will be made.

Group registration is for groups of 10. Please contact icone@seatoskymeetings.com for assistance with group registration. All group registrations must be paid in full by July 3.

Attendees who pay the Non-Member registration rate will be offered a complimentary 4-month ASME trial membership following the conference. ASME will contact eligible registrants and invite them to join ASME within 90 days after the conference. For more information, visit the ASME Membership website.

You will be able to request your Conference Letter of Invitation during the Registration process which will be sent as a PDF attachment via email. If you require a hard copy invitation letter to be mailed to you, you may request and pay for a hard copy invitation letter during the registration process.

Badges will not be mailed. All badges must be picked-up onsite. Photo identification is required for badge pick-up at the on-site registration desk. Full Payment is required to attend ICONE 31. Badges will not be given to anyone with an outstanding payment.

Participation in ICONE31 is at your own risk. Please make your own health and travel insurance arrangements.

A PDH Certificate will be emailed to you after the conference indicating the number of PDHs earned during the conference.

Participants are reminded that material presented at ASME conferences is under the copyright of ASME. As a result, participants are prohibited from recording, screen-capturing, or photographing presentations in their entirety with the intent to distribute them to others.

Conference and Social Events Cancellation and Refund Policy
All cancellations received in writing on or before Monday, July 8, 2024, receive a full refund, less an administration fee of 100 EUR for the Conference and a fee of 15 EUR for social functions, Technical Tours, and the accompanying persons program.

ASME reserves the right to cancel a Technical Tour if enrolment is insufficient to meet tour minimums.

As of Tuesday July 9, 2024, no refunds will be provided. All cancellations must be submitted in writing by email to icone@seatoskymeetings.com.

Workshop Cancellation & Refund Policy
Cancellations made before Monday, July 8, 2024, will receive a refund, less the administration fee of 30 EUR. Refunds are not available after Tuesday, July 9, 2024.

ASME reserves the right to cancel a Workshop if enrolment is insufficient to ensure maximum effectiveness. This decision is made approximately two weeks before the workshop begins, and registrants will receive a full refund or be given the opportunity to transfer to another workshop. Please keep this cancellation policy in mind when making airline reservations, as ASME cannot be responsible for fees charged for cancelling or changing your airline ticket. Course students are responsible for handling all travel arrangements and the costs associated with their travel.
